A Nigerian landlord with a few rental units may need a subscription, not a custom app. An agency managing many owners, managers and complicated rent records may need something different.
For 2026 planning, I would allow ₦3m–₦6m for a focused custom property-operations MVP, ₦6m–₦15m for a multi-property system and ₦15m+ for a complex platform. These are my scoping allowances, not verified market averages or fixed quotations. Ready-made software can cost far less upfront.
The first question is whether your workflow is standard enough to buy or distinctive enough to build.
Property website versus property management software
A property website markets available units and collects enquiries. Management software records tenancies, rent obligations, payments, receipts, access and history. If you mainly need listings, see my real-estate website cost guide. This article concerns operating rental properties.
How much should you budget?
| Approach | Budget basis | Best for |
|---|---|---|
| Existing subscription | Vendor’s monthly or annual fee plus setup | Standard tenant and rent administration |
| Configured software | Subscription plus migration/integration | Mostly standard workflows with a few gaps |
| Focused custom MVP | ₦3m–₦6m planning allowance | One operating team, essential tenancy and payment records |
| Multi-property custom system | ₦6m–₦15m planning allowance | Owners, delegated managers, tenant access and reporting |
| Multi-agency platform | ₦15m+; quote by scope | Separate customer accounts, billing and complex operations |
Custom estimates exclude unquoted provider fees, major data cleanup and ongoing maintenance. The expensive part is rarely the dashboard. It is handling the cases that do not follow the happy path.
Why payment records change the quote
A partial rent payment raises questions: which tenancy and period does it cover, has it been confirmed, and what balance remains? The system must also record corrections without silently rewriting history.
In my work on property-system architecture, I use a useful model: property → space → tenancy → obligation → payment → receipt. The payment is linked to what it settles; the receipt preserves evidence of that event.
A gateway alone does not provide that ledger. Paystack’s verification guide explains confirming transaction status, and its webhook guide covers verifying event origin. My payment integration cost guide explains the development work beyond checkout.
Permissions matter as much as money
An owner may permit a manager to record repairs at one property without giving access to another building or authority to change rent terms. That requires revocable, property-scoped permissions and a useful activity history.
If using Supabase, read its Row Level Security documentation on database grants and policies. Whatever the technology, hiding a button is not a security boundary.
Tenants also leave, managers change and properties change hands. Historical receipts should not silently change when someone edits a profile.
When buying wins
Choose existing software when you mainly need tenant records, due dates, reminders, receipts and ordinary reports. Ask for a demonstration using your actual cases: a partial payment, overdue rent, revoked manager access and a complete data export.
Check how fees change with units or users, whether setup costs extra and how you can leave. A subscription that handles those cases reliably is often better than commissioning the same features again.
When custom development makes sense
Custom becomes reasonable when repeated workarounds are costly or risky: different owners with different reporting rules, unusual service-charge allocations, approval chains, accounting integrations or a product you intend to sell to other property businesses.
An agency’s internal tool is not the same as a SaaS platform. The latter also needs customer isolation, onboarding, billing and support. See custom software development cost in Nigeria for broader pricing factors.
Compare three-year costs
For a subscription, add 36 months of fees + setup + migration + integrations + excluded support. For custom software, add discovery + build + testing + hosting + maintenance + future changes.
For example, a subscription charged per unit scales with portfolio size, while custom software has a larger initial bill and continuing support costs. Neither wins automatically. Compare the total cost against measurable staff time, error reduction and workflows the subscription cannot support.
What should version one contain?
Start with one complete operating loop: register a property and spaces; record a tenancy and obligations; grant limited access; verify and allocate a payment; issue an accurate receipt; preserve changes and export records.
Test partial payments, duplicates, reversals and revoked access before adding mobile apps or AI features.
Before you hire a developer
Require written decisions on roles, business rules, testing, migration, backups, support and handover. Clarify who owns the source repository, domain, cloud accounts and payment-provider account.
Tenant and financial records require privacy planning. The Nigeria Data Protection Commission explains the scope of the Nigeria Data Protection Act 2023.
I am also building Berlvis Spaces, a property operating system currently in controlled pilot, so I have a direct interest in this category. If existing software fits, use it. If your workflow genuinely needs a custom system, tell me what your team does today, including the number of properties, who needs access and where reconciliation breaks. We can scope a focused MVP instead of paying for unnecessary complexity.
